Rent a Car in Nairobi: What to Check Before You Pay a Deposit

Rent a Car in Nairobi: What to Check Before You Pay a Deposit

It is Thursday evening, and you need a car on Saturday. You find one you like, ask whether it is available and receive a message: “Yes, send a deposit to reserve it.”

The car looks good in the photos. The daily rate works for your budget. You are ready to pay.

But you have not yet agreed on the delivery time. You have not said that you plan to drive out of Nairobi. You are unsure whether the amount requested is part of the rental price or a separate security deposit. And you do not know what happens if your Saturday plans change.

Those questions are much easier to answer before you send the money.

If you want to rent a car in Nairobi, a reservation payment can be a normal part of securing a vehicle. What matters is knowing exactly what you are reserving, what you will owe later and which terms apply to your trip. Here is how to make that decision with the full picture.

First, confirm what you are booking

“An SUV is available” is a promising reply, but it is not yet a complete booking.

Ask which vehicle or vehicle category the quotation covers. If you have been sent photographs of a particular car, confirm whether that is the unit being offered for your dates. If the booking is for a category and the exact vehicle may vary, ask what alternatives could be supplied.

Then confirm the basics in writing:

  • The start date and handover time.
  • The return date and time.
  • The delivery and return locations.
  • The number of chargeable rental days.
  • Whether the booking is self drive or includes a driver.
  • The destinations and approved area of use.

Imagine planning to leave Nairobi for Nanyuki after collecting the car. If the rental team thinks you only need it for city travel, you may have been offered a vehicle based on an incomplete itinerary. Share the longer journey before you pay so the vehicle recommendation and rental terms reflect your actual plans.

A good quote should describe your trip, not just the car.

Ask for the full price, not only the daily rate

A message that says “KES 5,000 per day” answers one question. It does not tell you the total due for your booking.

Suppose you need a car from Friday afternoon until Monday evening. How many days will be charged? Will delivery to your workplace cost extra? If you need an additional day, what rate would apply? Ask for the total based on the exact handover and return times you want.

Your written quotation should separate the rental amount from any applicable delivery, driver or optional service charges. It should also show how much you need to pay now and when the balance is due.

If you are arranging the booking for work and require an ETR invoice, mention that while requesting the quotation. You want the final invoice requirements understood before you approve a budget.

A clear total is useful even when you are comparing two companies. Otherwise, you may be comparing one company’s daily vehicle rate with another company’s complete delivery package.

Know which “deposit” you are being asked to pay

People use the word deposit for different payments. This is where many avoidable misunderstandings begin.

A reservation deposit may be requested to hold a vehicle and begin the booking or dispatch process. A security deposit, where applicable, serves a different purpose and is dealt with under the rental terms. The balance of the rental fee is another amount again.

Before paying, ask:

  1. What is this payment for?
  2. Is it credited toward the rental total?
  3. Will any separate security deposit be required?
  4. What amount remains due, and when must it be paid?
  5. What cancellation or refund terms apply to this payment?

Have the answer recorded in your quote, invoice or booking conversation. Do not assume that every amount described as a deposit is refundable, or that a reservation payment is an extra fee on top of the quoted rental total.

Go-Wheels’ booking and cancellation terms should be read alongside the quote for your vehicle. In particular, ask how a cancellation would be treated if verification, vehicle preparation or delivery arrangements have already begun.

Check the cancellation terms against your real plans

Perhaps your meeting is confirmed, but the exact time is not. Perhaps you are waiting for your flight ticket. Perhaps the trip depends on another person arriving in Nairobi.

Tell the rental team if something important remains uncertain. Then read the applicable cancellation terms before reserving the vehicle.

Ask what happens if you cancel well ahead of the trip, cancel shortly before delivery or change the date. If the vehicle has already been prepared or dispatched, there may be costs associated with the booking. You need to know what would apply in your situation rather than rely on a general assumption about refunds.

The same goes for changing vehicles. If you reserve a sedan and later decide that your group needs a seven seater, availability and price may change. It is better to work out your passenger and luggage needs before the first payment.

A deposit is easiest to make when you are reasonably confident about your dates, vehicle size and route.

Make sure you can meet the self drive requirements

You have paid to reserve a car. On delivery day, you discover that the person who will receive it is not the approved renter, or a required document has not been supplied. Now everyone is waiting while verification is completed.

For self drive car hire, prepare your documents early. Go-Wheels requires identity and driver verification before releasing a vehicle. Depending on the booking, be ready to share your ID or passport, valid driving licence, contact and residence details, itinerary, a clear selfie, work or business verification and emergency contacts. The team will tell you which items it needs for your profile.

Ask about driver eligibility before paying if you are uncertain whether you qualify. If another person will share the driving, disclose that person and request approval. The primary renter should also be available for the agreed handover and payment arrangements.

For first time renters, Go-Wheels may require delivery to an agreed residence or workplace as part of verification. If you expected a different handover arrangement, resolve that before the vehicle is dispatched.

Visitors arriving from abroad should share their licence and identification details ahead of travel. That gives the team time to confirm what it can accept for the specific booking.

Confirm where the vehicle may be driven

The trip starts in Nairobi, so you search for a rental car in Nairobi. That does not necessarily mean the car will stay in the city.

Maybe you are visiting relatives in Meru. Maybe Saturday includes a lodge outside Naivasha. Maybe your group hopes to add Amboseli if the weather and schedule cooperate.

Tell the rental team about confirmed destinations and possible additions. The approved area of use should match the journey you intend to take. Some routes may also affect which vehicle is suitable, especially where access roads are rough or conditions may change.

If plans change during the rental, contact Go-Wheels and obtain approval before travelling somewhere outside the agreed itinerary. A spontaneous detour can still be enjoyable; it simply needs to fit the terms of the booking.

This conversation is particularly important if you are choosing between a compact car, an SUV and a capable 4×4. A vehicle that is comfortable around Nairobi may not be appropriate for every road beyond it.

Ask how the fuel arrangement works

One renter remembers collecting a previous hire car with a full tank and assumes every rental works the same way. At return, they discover the vehicle they booked had a different fuel arrangement.

Avoid that conversation by asking before you pay and confirming the level again at handover.

Some Go-Wheels vehicles are supplied with the fuel they currently have and should be returned at the same level. Others may be booked under a different arrangement. Ask what applies to your unit, whether any fuel related security amount is required and how the level will be recorded.

Fuel is also part of your trip budget. A daily hire rate does not include the fuel you will use unless your specific quote says otherwise. If you are comparing self drive with a chauffeured package, ask whether fuel is included in the latter.

Understand insurance and your responsibilities

“Is the car insured?” is an important question, but it should lead to a few more.

Ask about the applicable insurance excess, the steps to take after an accident and any responsibilities set out in your rental agreement. Find out whom to contact if the vehicle develops a mechanical issue or warning light.

Read the condition, damage and incident terms rather than assuming that comprehensive insurance means a renter can never incur a cost. Your agreement should tell you how incidents are reported and handled.

You do not need to predict every problem before a trip. You do need to know whom to call and what process to follow if something happens.

Agree on delivery before someone sets off

If you want the car delivered to your home, workplace or JKIA, confirm the details before making the reservation payment.

For an airport arrival, give the flight number and ask where you will meet the team. A scheduled landing time is not the same as the moment you will be ready to receive the vehicle. If the flight is delayed, you should know which number to call.

For delivery elsewhere in Nairobi, share a precise location and a realistic handover time. Confirm who will receive the vehicle. If the primary renter must be present for verification and signing, arranging for a colleague or relative to “just take the keys” can delay the handover.

Ask whether delivery has a separate charge and ensure it appears in the quotation. The same applies if you intend to return the car somewhere other than the original handover point.

Save the booking record

By the time you are ready to pay, the important details may be spread across a dozen messages. Bring them together.

Keep a copy of the quotation or invoice, the applicable rental terms, the payment confirmation and the agreed handover details. If you discussed a special request, such as an additional driver or a particular destination, make sure the approval is recorded.

After payment, confirm that the team has received it and ask what remains to complete the booking. A reservation is most useful when both sides know the next step: document verification, vehicle confirmation, dispatch planning or final payment.

A clear record also helps if the person collecting the car is coordinating travel for a family or company. Everyone can refer to the same dates, location and contact number.

A good booking still includes a careful handover

Paying a deposit secures a booking under the agreed terms; it does not replace inspecting the vehicle.

When the car arrives, take a few minutes to check its exterior, interior, tyres, lights and dashboard. Record existing marks with clear photos and a 360 degree video. Confirm the odometer and fuel level, and make sure the handover checklist matches what you can see.

Find out where the spare tyre and safety accessories are kept. Save the support contact in your phone before leaving.

If the vehicle or an important booking detail differs from what was agreed, raise it during handover. That is the moment to get clarity, before the journey begins.

The questions to send before paying

You do not need to turn a straightforward booking into a long negotiation. One clear message can settle most of the essentials:

“Please confirm the vehicle or category, my rental dates and times, delivery and return locations, total cost, amount due now, balance due at handover, approved destinations, fuel rule, self drive requirements and cancellation terms before I make the reservation payment.”

A rental company that has the information it needs should be able to walk you through its booking process. You can then make the payment knowing what it confirms.
